To ensure a successful program and a smooth, worry free experience, I will need your assistance with the following.

1. Microphone, Screen & Equipment. I prefer to wear a wireless, cordless lavaliere microphone. If not available, a hand held microphone will work... I just can't guarantee I won't hit my head with it. Also, please have a large screen set up as well as a small table for the LCD projector and laptop that I will be bringing to the event. I also need a plug in that will accommodate at least four plugs.
2. Introduction. I have a copy of my introduction on my website which can be located at http://www.karel.com/marketing/intro.pdf. It is short and to the point. Please however, this should not appear in your marketing materials…that information is located at http://www.karel.com/marketing/karelbio.pdf.
3. Program Reinforcement Products. In many of my presentations, I offer audio/video and written materials for the participants to purchase. Please let me know as soon as possible if this will be permissible or if there are certain criteria I must follow. If you think it would make sense for each of your attendees to walk away with my materials to reinforce the concepts learned that day, I offer you a pre-event discount. 4. Shipment of Preparation Material. If I am flying to the venue, I will need to ship some program materials to your offices. Please let me know who the box should be directed to.
5. Hotel. If convenient, I prefer the meeting planner to place the hotel reservation. If possible, could you bill it directly to your organization? If that arrangement is not workable, please let me know and I will set the reservation myself. I will need a list of hotel alternatives if the venue is not a hotel.
6. Emergency Contacts. I would appreciate a list of phone numbers of emergency contacts attending the meeting. This will help me not panic as I know there is someone I can contact on a weekend or after hours if something should come up in terms of transportation snafus. I just want to make sure everyone is apprised of any problems which might unexpectedly occur.
7. Taping. If you would like to audio or video tape the presentation, I prefer a professional arrangement and would like a master copy of the tape be provided afterwards to me.
8. Payment. Unless otherwise arranged, I request half (25%) down payment when the date is booked with the balance due before or at the completion of my presentation that day. Please make the check payable to Karel Murray and give it to me sometime during the day – privately. If you need to make other arrangements, please let me know.
9. Referrals. The highest compliment for any speaker is a referral... it would be a privilege to receive a referral from you if you felt I did an exceptional presentation for your event.
10. Testimonial Letter. If I delivered the experience you were looking for and more, I'd appreciate a testimonial letter from you on your letterhead within 2 weeks after the event. Please be advised, by providing this letter, you are giving me permission to use your comments in any and all media and providing copies to future prospective clients. This word of mouth marketing has a major impact on my marketing efforts. I appreciate anything you are willing to do.
11. Expense Billing. I will send you an invoice for the travel expenses associated with her presentation and any other payment arrangements due. I hope you will reimburse me quickly (within 30 days) as I want to avoid an unnecessary heart attack if I view a huge credit card bill!
