Checklist for a Worry Free Experience

To ensure a successful program and a smooth, worry free experience, I will need your assistance with the following.

1. Audio Visual Requirements. Audio: I prefer to wear a wireless, cordless lavaliere microphone for groups of forty or more. In addition, I will need a sound patch into my laptop for playing videos and music. If the sound patch is not an option, I will bring my own small speakers.  I would prefer to utilize your LCD unit if you own one.  I can bring my own if that is more convenient for you. Please have a large screen set up as well as a small table for the laptop that I will be bringing to the event. I also need a plug in that will accommodate at least four plugs.

2. Introduction / Marketing Information. I have a copy of my introduction on my website which can be located at http://www.karel.com/marketing/intro.pdf. It is short and to the point. Please however, this should not appear in your marketing materials…that information is located at http://www.karel.com/marketing/karelbio.pdf. You may find marketing photos at http://www.karel.com/photos.asp.  In addition, I will be delighted in assist you with promotional wording regarding the topic and what I offer.
3. Program Reinforcement Products. If you think it would make sense for each of your attendees to walk away with my materials to reinforce the concepts learned that day, I offer you a pre-event discount.
4. Shipment of Preparation Material. If I am flying to the venue, I will ship program materials to the location provided to me upon completing the booking.  Expect those boxes no later than 1 week prior to the event.
5. Hotel. I prefer the meeting planner place the hotel reservation and bill it directly to your organization.  This ensures the lowest possible rate and that I won’t accidently reserve a room half way across the city from the venue.  If I need to set the reservation, please provide me with hotel alternatives that fit your budget.
6. Emergency or Venue Contacts. If you have not already done so, please provide me the names and weekend contact information so that I can announce my arrival to the venue and/or discuss any travel issues that may arise as a result of weather. 
7. Payment. Unless otherwise arranged, I request half (50%) down payment when the date is booked with the balance due before or at the completion of my presentation that day. Please make the check payable to Karel Murray and give it to me sometime during the day – privately. If you need to make other arrangements, please let me know.
8. Expense Billing. Flight expenses will be pre-billed upon reservation.  I will send you an invoice for the travel expenses associated with my presentation.
9. Referrals / Testimonial Letter. The highest compliment for any speaker is a referral…it would be a privilege to receive a referral from you if you felt I did an exceptional presentation for your event.  If I delivered the experience you were looking for and more, I’d appreciate a testimonial from you.  I will be providing you with a form with the invoice.   
10. Program Wrap-up. Within a week after the presentation, you will be contacted for feedback regarding how the engagement went.  We are counting on you to be honest with your feedback since we rely upon it to fine tune my presentations.  Our goal is to have you thrilled with what is presented, how it is presented, and delighted with the entire booking process.
